Job Description for: Region Administrator

Division: Strategic, Geographic, and International Initiatives

SUMMARY OF MAJOR RESPONSIBILITIES:

  • Liaison between ASCE Headquarters and the assigned Regions, Sections, and Branches.
  • Provide guidance and support to Regions Boards of Governors and Sections and Branches toward Societal goals.
  • Provide support to Society Directors in their leadership roles.
  • Plan and orchestrate annual Multi Region Leadership Conferences.
  • Provide support to assigned national committees.
  • Manage assigned projects.

SPECIFIC RESPONSIBILITIES:

  • Identify ASCE key activities and areas of operation for participation in bi-annual Section and Branch Conference Calls. Schedule and facilitate calls to Sections and Branches for the purpose of providing for an information exchange between these entities.
  • Review and negotiate contracts for Multi Region Leadership Conferences. Prepare and initiate all correspondence to attendees, plan all meeting logistics with hotel prior to event and onsite, including F&B, A/V and space planning, monitor budgets, prepare and verbally present information on the Society structure and resources. Follow through on all post Conference logistics.
  • Contribute to the preparation and update of presentations for Region meetings, Mini-Management Conferences, Headquarters Orientation, new staff Orientation, Council of Presidents and Multi-Region Leadership Conferences.
  • Delegate duties to Administrative Assistant as appropriate.
  • Analyze, compile and disseminate Section Annual Report data.
  • Initiate and facilitate a dialogue with other ASCE departments. Scheduling periodic meetings to more effectively represent the Society's services, programs and activities to the Regions, Sections and Branches.
  • Provide support to national committees.
  • Prepare and verbally present ASCE national information at Section, Branch and Region meetings.
  • Draft and submit Region articles for Section Informant.
  • Draft and submit articles for monthly ED column in ASCE News.
  • Set up and monitor Region Web Sites.
  • Monitor Section and Branch Web Sites for accuracy and timeliness.
  • Set up and monitor Region eRoom and provide ongoing training and support for eRoom coordinators.
  • Review and follow up on all Visit Reports from Region Governors and Society Directors.
  • Attend, participated and present at Region meetings.
  • Coordinate Region Allotment distribution from national.
  • Review and track Region Annual Reports.
  • Review Section and Branch Award nominations for outstanding activities and follow up with a best practices document.
  • Serve as a liaison to the International Region staff.

LEADERSHIP RESPONSIBILITIES

  • Provide leadership to Regions/Sections/Branches toward Societal goals.
  • Provide guidance to volunteers involved with the Workshops for Section and Branch Leaders and the Younger Member Council Meetings.
  • Provide direction to staff in interacting with throughout their Regions, Sections and Branches.

TASK COMPLEXITY
Responsibilities are semi-routine requiring discretion, independent action and analysis to arrive at decisions. Facts must be reviewed to determine appropriate action within prescribed limits.

INDEPENDENT JUDGMENT
Responsibilities are under general supervision. Objectives are set with concurrence by the supervisor. Employee will be responsible for utilizing time management skills. Employee will keep supervisors informed of developments within assigned Regions. Independent judgment is necessary when identifying meeting facilities, negotiating contracts, planning schedules, maintaining budgets, reviewing reports and various other documents.

CONFIDENTIALITY
Responsibilities require frequent access to confidential information, including conversations with members regarding politically sensitive issues, i.e., budgets, Board issues, political goals, personnel.

CONTACTS/CUSTOMER SERVICE
Responsibilities involve frequent internal and external contacts on matters requiring tact, judgment, and proper conduct to avoid dissatisfaction and to maintain productive relationships with staff at all levels, the Society's leaders, hotels, vendors, various associations, etc.

SUPERVISORY RESPONSIBILITY
May delegate and supervise Administrative Assistant, as necessary.

WRITING RESPONSIBILITY
Responsibilities require frequent composition of internal and external communications.

TECHNOLOGICAL COMPETENCY
Responsibilities require intermediate competency. Handles specific computer functions in MS Word, MS Access, MS Excel, MS PowerPoint software and MS Outlook.

EDUCATIONAL REQUIREMENTS
Prefer 4-year college degree and professional experience in non-profit association management.

PREVIOUS EXPERIENCE
4-5 years of association experience

PHYSICAL REQUIREMENTS
Responsibilities require moderate physical effort. Handles medium weight packages or equipment (FedEx, bundles of mail, reams of paper, etc). Sustains physical activities such as continual bending/stooping, standing for extended periods of time while orchestrating Zone Leadership Conferences.

OTHER SKILLS
Requires project management, basic accounting, meeting planning and excellent oral and written communications skills.

JOB TITLE: Design engineer

LOCATION: McLean, VA

EDUCATION: MS in Civil Engineering, specializing in structures

RESPONSIBILITIES: Design new and renovated structures, prepare calculations and contract drawings, review or prepare structural specifications, review structural shop drawings and contractor submissions, attend meetings with architects or county officials, respond to contractor requests, perform site visits (some air travel or overnight stays may be required).

REQUIREMENTS: 0 to 10 years of experience in the field of structural engineering; good communications skills, both oral and written; willingness to learn, be flexible, and work hard.

JOB TITLE: Tunnel Engineer/Engineering Geologist

EDUCATION: B.S/M.S degree in Civil Engineering/Geotechnical Engineering or Engineering Geology

Study Groups

The PE and Fundamentals of Engineering (FE) exams are held every six months in April and October. About three months before the exam we try to put together a list of people looking for study partners. If there is enough interest, we can arrange people into groups based on location and speciality.
